Classify
Classify is where you process inbox tasks in bulk. Instead of opening each one, assigning a project, setting status, and repeating—you select a batch and apply changes to all at once. It's the fast track to inbox zero.
When to use Classify
- You've captured a bunch of stuff and the inbox is full
- Several tasks belong to the same project (e.g. "Q1 Launch")
- You're doing a processing session and want to move quickly
- You want to clear the inbox without one-by-one editing
How it works
Open Classify from the icon bar.
You see your inbox tasks.
Select one or more (click, Shift+click, or Ctrl/Cmd+click).
Use the action bar to apply:
- Project – Assign all to the same project
- Status – Todo, In progress, etc.
- Priority – High, medium, low
- Labels – Contexts like @work, @computer
- Due date – Same date for all
- Archive or Delete – For items that don't need a home
Changes apply to all selected tasks. Processed tasks move out of the inbox.
GTD processing in bulk
In GTD, processing means: What is it? What's the next action? Where does it go? Classify handles the "where does it go" part in bulk. You're still doing the mental work—deciding project, status, priority—but you're doing it once per batch instead of once per task.
Tip: Group similar items. "These five are all for Marketing." Select them, assign project, done. Then the next batch.
Combine with Clarify
For a full processing session:
- Clarify first (zen mode or one-by-one)—add priority, time estimate, context to inbox items.
- Classify second—batch-assign projects and status.
- Inbox zero.
Clarify answers "what is this?" Classify answers "where does it live?"
